This Privacy Policy describes how The Herron Group (“we,” “us,” or “our”) collects, uses, stores, shares, and protects your personal information when you use Careervo (“the Platform”), a voice-enabled AI career coaching platform. We are committed to protecting your privacy and handling your data with care and transparency.
By using Careervo, you consent to the practices described in this Privacy Policy. If you do not agree with this policy, please do not use the Platform.
1. Information We Collect
1.1 Information You Provide Directly
When you create an account or use Careervo, you may provide us with:
- Account information: Name, email address, and password used to create and manage your account.
- Profile information: Career goals, education history, work experience, skills, certifications, and other professional details you share during coaching sessions.
- Resume content: Text, uploaded documents, or handwritten materials submitted for resume building and ATS scoring.
- Voice input: Spoken words captured through your device's microphone during voice coaching sessions, which are converted to text for processing.
- Communication: Any messages, feedback, or support requests you send to us.
1.2 Information Collected Automatically
When you use the Platform, we may automatically collect:
- Usage data: Features used, session duration, coaching topics accessed, and interaction patterns.
- Device information: Browser type, operating system, device type, and screen resolution.
- Log data: IP address, access times, pages viewed, and referring URLs.
- Cookies and similar technologies: We use cookies and similar technologies to maintain your session, remember your preferences, and improve the Platform experience. See Section 8 for more details.
1.3 Information from Third Parties
If you access Careervo through a workforce development agency, educational institution, or other organizational partner, that organization may provide us with your name, email, and enrollment information to set up your account. This data sharing is governed by the agreement between that organization and The Herron Group.
2. How We Use Your Information
We use your information for the following purposes:
- Delivering the service: Processing your voice input, generating career coaching responses, building resumes, calculating ATS readiness scores, creating training plans, and displaying job search results.
- Personalizing your experience: Tailoring coaching recommendations, remembering your career goals, and improving the relevance of advice based on your previous sessions.
- Improving the Platform: Analyzing usage patterns and aggregated, anonymized data to improve features, fix issues, and develop new capabilities.
- Communication: Sending you account-related notifications, service updates, and (with your consent) information about new features or resources.
- Institutional reporting: If you access Careervo through an organizational partner, we may provide that organization with aggregated usage data and outcome metrics (such as session completion rates and ATS score progress) to support their program reporting. Individual coaching session content is not shared unless you explicitly consent.
- Legal compliance: Responding to legal requests, enforcing our Terms of Service, and protecting the rights, safety, and property of The Herron Group and our users.
3. How We Share Your Information
We do not sell your personal information. We share your information only in the following circumstances:
3.1 Third-Party Service Providers
We use third-party services to operate the Platform. We may share your information with third-party service providers who perform services on our behalf, including:
- Cloud hosting and data storage providers
- Analytics and performance monitoring services
- Payment processors (such as Stripe) to process transactions securely
- Speech-to-text and text-to-speech technology providers
- Customer support tools
These providers are contractually obligated to use your information only as necessary to provide services to us and in accordance with this Privacy Policy. Our current service providers include:

3.2 Organizational Partners
If you access Careervo through a workforce development agency, educational institution, or other organizational partner, we may share the following with that organization:
- Your account status (active/inactive)
- Aggregated usage metrics (number of sessions, features used)
- ATS readiness scores and score progression over time
- Training plan completion status
We do not share the content of your individual coaching conversations with organizational partners unless you provide explicit consent. Organizations may see that you used the Platform and your progress metrics, but not what you said during sessions.
Opt-Out: If you do not wish to have your information shared with organizational partners, you may opt out by contacting us at support@careervo.io. Please note that opting out may limit certain features or services available to you through partner organizations.
3.3 Legal Requirements
We may disclose your information if required to do so by law, regulation, legal process, or governmental request, or if we believe in good faith that disclosure is necessary to protect the rights, safety, or property of The Herron Group, our users, or the public.
3.4 Business Transfers
If The Herron Group is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change and any choices you may have regarding your information.
4. Voice Data
Careervo uses voice-enabled features that may involve the collection and processing of audio data. When you use voice features, your audio is processed by third-party speech-to-text and text-to-speech providers to enable platform functionality.
Retention: Voice data retention periods may vary depending on the third-party provider used. Some providers delete audio data immediately after processing, while others may retain audio data for a limited period (for example, up to 30 days) for quality assurance or service improvement purposes. We select providers who maintain appropriate data protection practices and require them to handle your data in accordance with applicable privacy laws.
You may disable voice features at any time through your account settings. Disabling voice features will prevent further collection of audio data but will not affect data previously processed.
5. Data Retention
We retain your information for as long as your account is active or as needed to provide the Platform's services. Specifically:
- Account information: Retained while your account is active and for 30 days after account deletion to allow for reactivation.
- Session history and generated documents: Retained while your account is active. You may delete individual sessions or request full data deletion at any time.
- Voice data: Raw audio is not retained. Transcribed text follows the same retention as session history.
- Usage and analytics data: May be retained in anonymized, aggregated form indefinitely for service improvement purposes.
- Institutional reporting data: Aggregated metrics provided to organizational partners are retained according to the terms of the applicable service agreement.
When you delete your account or request data deletion, we will remove your personal information from our active systems within 30 days. Some information may persist in backup systems for up to 90 days before being permanently deleted.
6. Data Security
We implement commercially reasonable technical and organizational measures to protect your personal information, including:
- Encryption of data in transit using TLS/SSL
- Encryption of data at rest in our database systems
- Access controls limiting who within our organization can access personal data
- Regular security reviews of our systems and third-party providers
Despite these measures, no system is completely secure. We cannot guarantee the absolute security of your information. If we become aware of a security breach affecting your personal data, we will notify you and any applicable regulatory authorities as required by law.
7. Your Rights and Choices
Depending on where you live, you may have some or all of the following rights regarding your personal information. Careervo honors these rights for all users regardless of location.
- Right to Know. You can request that we tell you what personal information we collect about you, why we collect it, and who we share it with.
- Right to Access. You can request a copy of the personal information we hold about you in a portable format.
- Right to Delete. You can request that we delete your personal information, subject to certain legal exceptions such as compliance with legal obligations or completing a transaction you requested.
- Right to Correct. You can request that we fix inaccurate personal information we hold about you.
- Right to Opt Out of Sale. You can opt out of the sale of your personal information. We do not sell your personal information and have no plans to do so.
- Right to Opt Out of Targeted Advertising. You can opt out of the use of your personal information for targeted advertising. We do not use your information for targeted advertising.
- Right to Non-Discrimination. We will never deny you service, charge you different prices, or provide a different quality of service because you exercised your privacy rights.
- Right to Limit Use of Sensitive Information. You can request that we limit our use of sensitive personal information to only what is necessary to provide the services you requested.
- Right to Data Portability. You can request your data in a format that allows you to transfer it to another service.
- Right to Appeal. If we deny a privacy request, you have the right to appeal that decision. We will respond to appeals within 60 days.
Information We Collect
We collect identifiers (name, email, account credentials), professional information (resume content, work history, skills, education), audio data (voice input processed for speech-to-text during coaching sessions), usage data (session logs, platform activity), and inferences drawn from the above (career recommendations, ATS scores, training plans).
How We Use It
We use personal information solely to provide and improve the Careervo platform. We do not sell your data. We do not use it for advertising. We share it with third-party service providers (AI language model providers, voice synthesis providers, cloud hosting) only as necessary to deliver our services, and those providers are contractually prohibited from using your data for any other purpose.
Minors
If you are under 16 years of age, we will not sell or share your personal information without opt-in consent from a parent or guardian.
How to Exercise Your Rights
Contact us at support@careervo.io to make any privacy request. We will verify your identity and respond within 45 days. You may designate an authorized agent to make a request on your behalf.
8. Cookies and Tracking Technologies
Careervo uses cookies and similar technologies for the following purposes:
- Essential cookies: Required for the Platform to function, including maintaining your login session and security. These cannot be disabled.
- Functional cookies: Remember your preferences, such as language settings and coaching preferences, to improve your experience.
- Analytics cookies: Help us understand how users interact with the Platform so we can improve features and performance. Analytics data is collected in aggregate and does not identify individual users.
We do not use advertising or tracking cookies. We do not sell data to advertisers or use third-party ad networks.
You can manage cookie preferences through your browser settings. Disabling essential cookies may affect the Platform's functionality.
9. Children's Privacy
In compliance with the Children's Online Privacy Protection Act (COPPA), Careervo does not knowingly collect personal information from children under the age of 13 without verifiable parental consent. If we become aware that we have collected personal information from a child under 13 without appropriate consent, we will take steps to delete that information promptly.
Student Data and Educational Records
When Careervo is used in educational settings, we may receive student information through educational institutions. In these cases, the educational institution is responsible for obtaining appropriate parental consent prior to student use of the platform. We handle student data in accordance with the Family Educational Rights and Privacy Act (FERPA) and other applicable education privacy laws.

10. Users Accessing Through Organizations
If you access Careervo through a workforce development agency, educational institution, or other organizational partner:
- Your organization may have agreed to additional data handling terms in their service agreement with The Herron Group.
- Your organization may designate administrators who can view your usage metrics and progress data (but not individual session content, unless you consent).
- If your access is provided by an organization and that organization terminates its agreement with us, your account and data may be affected. We will notify you in advance and give you the option to convert to an individual account or download your data.

11. Data Transfers
Careervo is operated from the United States. If you are accessing the Platform from outside the United States, your information will be transferred to, stored, and processed in the United States. By using the Platform, you consent to this transfer. We take reasonable steps to ensure your data is treated securely and in accordance with this Privacy Policy regardless of where it is processed.
International Users and Data Transfers
Careervo is operated by The Herron Group from the United States. If you are accessing the Platform from outside the United States, please be aware that your personal information will be transferred to, stored, and processed in the United States, where our servers and service providers are located.
If you are located in the European Economic Area (EEA), the United Kingdom, or Switzerland, we process your personal information based on the following legal grounds as applicable: your consent, the performance of our contract with you to provide career coaching services, and our legitimate interests in operating and improving the Platform.
Under the General Data Protection Regulation (GDPR), you have the following rights in addition to those listed in the Your Privacy Rights section above: the right to lodge a complaint with your local data protection authority, the right to withdraw consent at any time where processing is based on consent, and the right to object to processing based on legitimate interests.
When we transfer personal data from the EEA, UK, or Switzerland to the United States, we rely on appropriate safeguards including Standard Contractual Clauses approved by the European Commission.
Rights for Users in the European Union
If you are located in the European Union, you have the following rights under the General Data Protection Regulation (GDPR):
